Using the Application Details service

How to view and update information about your application(s) for Student Loan, Student Allowance and Scholarships.

General information about Application Details

You should always check the Application Details service after making changes via MyStudyLink as your entitlement may have been affected.

Updating your study details

In some situations you may be able to add new study details, or update your existing ones.

If you only have view access to MyStudyLink or if your study details have already been confirmed by your education provider(s) you''ll need to call us on 0800 88 99 00 to make any changes. Please have your client number handy.

Incomplete applications

If your application is incomplete for any reason, we need to have the outstanding information by the end of the course for which you have applied.

Application no longer required

If you do not want to continue with an application, you can let us know using the 'Ask a question' email service on our website, or by calling us on 0800 88 99 00 (or 'Ask a question' through our FAQs). Please have your client number handy.


Application Details page

This page shows details of your current applications only.

This page may be blank if your applications are for past study or have not yet been processed.

About the fields on the Application Details page

Education Provider

This field displays the education provider you have nominated for this application.
If you have nominated multiple providers, this field will display 'Multiple'.

Please make sure you remove any education providers that you're no longer enrolled with - you can do this by deleting them in the next screen, accessed via the 'View/Update' hyperlink.

Note: You are only able to add/update study details until your study has been confirmed by your education provider(s). If you need to make changes once your study has been confirmed, call us on 0800 88 99 00. Please have your client number handy.

Status

This field shows the current status of your application. Click on the link for a more detailed explanation.

Training Incentive Allowance

Training Incentive Allowance is a payment made to some students who are receiving a main benefit (from Work and Income) while they study. For all other students, the correct value for this field is 'No'.

To advise whether you will be receiving Training Incentive Allowance or to change the value being displayed in this field, call us on 0800 88 99 00. Please have your client number handy.

Scholarship Type

This field displays the type of scholarship application. It applies to the Step Up, Bonded Merit, NZQA Monetary Award and TeachNZ Scholarships.


Viewing and updating your Student Loan information

You can view and update your Student Loan information via MyStudyLink.

Note: Once your study details have been confirmed you will not be able to update any existing, or add any new, study information. If your study details are incorrect and you cannot make the update via MyStudyLink, call us on 0800 88 99 00. Please have your client number handy.

The following are explanations for some of the fields and functions for your Student Loan information:

Status

This is the current status of your Student Loan application.

Below is a table detailing each different Student Loan status and what it means:

Loan StatusFurther detail
Status field displays as blank. We have received your Loan application. Check Application Details for any Assessment Outcomes.
Application submitted. We have received your Loan application. Check Application Details for any Assessment Outcomes.
Loan Contract has been sent. A Loan Contract has been sent to you. If you are a first time Student Loan borrower or have elected to receive your contract through paper mail, this may take up to 5 working days to reach you. Check Application Details for any Assessment Outcomes. Also check Personal Details to ensure your address is correct. If you are using the Student Loan Contract Online service you will receive notification by text or email when your Student Loan Contract is ready for you to accept.
Loan Contract has been returned. Your Loan Contract has been received by us. Check Application Details for any Assessment Outcomes.
Confirming study details. We are confirming your study details with your education provider(s). Check Application Details for any Assessment Outcomes.
Note:
- You need to be fully enrolled with your education provider(s) in order to progress past this status.
- Your application may not progress past this status until close to your start date.
Approved. Your Student Loan has been approved.
Declined. Your Student Loan has been declined. Please check your Student Loan letter(s) for more information or call us on 0800 88 99 00. Please have your client number handy.
Closed. Your Student Loan has been closed. Please check your Student Loan letter(s) for more information or call us on 0800 88 99 00. Please have your client number handy.
Application was not completed. Your Loan application was not submitted. Please check your Student Loan letter(s) for more information or call us on 0800 88 99 00. Please have your client number handy.

EFTS Used

This field displays the total amount of EFTS you have used for the Student Loan since study starting on or after 1 January 2010.

Students are only able to receive a Student Loan for a maximum of 7.0 EFTS in their lifetime (excluding any Student Loan taken out for a period prior to 1 January 2010).  If you would like to discuss the EFTS you have used please contact us.  Please have your client number handy.

Account EFTS Count

This is the total amount of EFTS that your Student Loan has been approved for in a 52 week period. Students are only able to borrow up to 2 EFTS worth of study each year. 

Note: If you have study that exceeds 2 EFTS, that has been declined, it will not show in this count.

Assessment Outcomes

The Assessment Outcomes are based on the status of your Student Loan application.

The information displayed here depends on the status of your application and whether any further information or evidence is required.

Any information or evidence you have sent us needs to be processed into our system before you will see a change to your Loan Status or Assessment Outcome. This may take up to five working days from the date we receive it.

Weekly Living Costs

This table displays your entitlement to any Living Costs payments as part of your Student Loan.

  • This information is only displayed once your Student Loan has been approved.
  • If you have multiple current Student Loan applications, the Living Costs information may be displayed on another application. 
  • The 'Status' field in this table shows whether you're eligible to receive Living Costs as part of this Student Loan application.
  • You can view and update your Living Costs details via the Loan Living Costs or Payment Information service in MyStudyLink.

Updating existing Study Details

Here you can change the study details for your Student Loan application.

  • The study Start and End dates you give us do not need to be exact, but please make them as accurate as possible (your education provider will confirm the actual dates with us).
  • Providing a Student ID may make it easier for us to confirm your study details with your education provider.
  • The 'Pay Fees with Student Loan' field is asking whether you want the Student Loan to pay for your compulsory course fees. If yes, we will pay the fees directly to your education provider.
  • To advise us of a change of education provider, go back and select 'Add New Education Provider' instead (remember to delete the incorrect education provider once you've added the new one).

Adding a new education provider

Here you can add a new education provider to your Student Loan application.

  • You will need to search for the education provider and enter all the relevant study information so that we can confirm your study details.
  • The study Start and End dates you give us do not need to be exact, but please make them as accurate as possible (your education provider will confirm the actual dates with us).
  • Providing a Student ID may make it easier for us to confirm your study details with your education provider.
  •  The 'Pay Fees with Student Loan' field is asking whether you want the Student Loan to pay for your compulsory course fees. If yes, we will pay the fees directly to your education provider.

Note: Once you've added your education provider(s), please delete any study details on your record that are no longer correct. This prevents delays in confirming your study.


Viewing and updating your Student Allowance information

The following are explanations for some of the fields and functions for your Student Allowance information:

Student Allowance entitlement

Usually you can get the Student Allowance for 200 weeks for tertiary study, or 120 weeks for tertiary study if you are aged 40 or over at the date you start study (for study starting on or after 1 January 2014), or 92 weeks for secondary school study.  If you don’t have enough weeks of your entitlement left to complete your study, visit the ‘Financing study’ section at www.studylink.govt.nz to find out about your options.  You may be able to get an extension to your entitlement limit in certain circumstances if you need extra time to finish your studies.

Assessment periods

This table shows a summary of your Student Allowance broken down into different periods. This is based on the status of your application at that time.

This is the current status of your Student Allowance application.

Assessment Period - Student Allowance screen

This screen shows your entitlements to Student Allowance over a certain period of time.
The following are some of the fields in this screen:

Status

This is the status of your Student Allowance application for the specific Assessment Period you are viewing.

Assessment Outcomes

The information displayed here depends on whether your Student Allowance application has been approved or declined, or whether any further information or evidence is required:

  • If your application has been approved, a description of the rate of Student Allowance you qualify for will be displayed.
  • If your application has been declined, a reason for the decline will be displayed.
  • If we require further evidence and/or information for your Student Allowance application, these requirements will be displayed.

Any information or evidence you have sent us needs to be processed into our system before you will see a change to your application. This may take up to five working days from the date we receive it.

Accommodation Region

This field displays the region that is used to determine your rate of Accommodation Benefit (if you are eligible for this)

In some situations you may be eligible to receive an Accommodation Benefit as part of your Student Allowance.

Updating existing Study Details

Here you can change the study details for your Student Allowance application.

  • The study Start and End dates you give us do not need to be exact, but please make them as accurate as possible (your education provider will confirm the actual dates with us).
  • Providing a Student ID may make it easier for us to confirm your study details with your education provider(s).
  • The 'Extramural Study' field is asking whether you are completing your study at your education provider (studying on campus) or extramurally (for example, distance learning).
  • To advise us of a change of education provider, go back and select 'Add New Education Provider' instead (remember to delete the incorrect education provider once you've added the new one).

Adding a new education provider

Here you can add a new education provider to your Student Allowance application.

  • You will need to search for the education provider and enter all the relevant study information so that we can confirm your study details.

You can view your scholarship information via MyStudyLink. If any of the details displayed are incorrect or you need to make changes, call us on 0800 88 99 00. Please have your client number handy.

Status

This shows which stage your application is at and/or whether any further actions are required.

Waiting for application to be returned. You need to return the completed renewal form before your application can be progressed.

Approved. Your scholarship has been approved.
Declined. Your scholarship has been declined. For further information, check Assessment Outcomes in the 'View Application Details - Scholarship' screen.
Closed. Your scholarship has been closed. For further information, check Assessment Outcomes in the 'View Application Details - Scholarship' screen.
Payment has been postponed. Your scholarship payment has been postponed. For further information, call us on 0800 88 99 00. Please have your client number handy.
Waiting for a response from the Ministry of Education. We are requesting information from TeachNZ administration.
Discontinued at the request of the Ministry of Education. Your application has been closed by TeachNZ administration. Please call them on 0800 165 225 for more information.
